Listed below you will find a comprehensive list of our letting fees and charges for landlords. Full copies of our Terms and Conditions of business can be provided upon request.


Lettings Services and Fees

Lettings and Rent Collection Service

Gibbs Gillespie’s commission fee is 11% plus VAT (13.2% inc VAT) of the total rent payable or a minimum of £65.00 plus VAT (£78.00 inc VAT) per calendar month, whichever is the greater.

Lettings and Rent Protection Service

Gibbs Gillespie’s commission fee is 14% plus VAT (16.8% inc VAT) of the total rent payable or a minimum of £75.00 plus VAT (£90.00 inc VAT) per calendar month, whichever is greater.

Full Lettings and Comprehensive Property Management Service

Gibbs Gillespie’s commission fee is 17% plus VAT (20.4% inc VAT) of the total rent payable or a minimum of £85 plus VAT per calendar month whichever is greater.

For tenancies extending or renewing beyond the original term, including periodic tenancies, and whether or not Gibbs Gillespie are involved in the negotiation of such renewal, Gibbs Gillespie’s commission fee will be charged at the above rates.

Our fee will be as paid in accordance with your preferred of the following payment options:

Deduction of the fee from the rent payable by the tenant monthly, including rent payable upon the extension/renewal of the tenancy, or

Payable in full and in advance upon the commencement or extension/renewal of the tenancy.

Gibbs Gillespie is a member of the dispute and compensation scheme operated by The Property Ombudsman (www.tpos.co.uk) and the registration number is N03070.

Gibbs Gillespie are members of the Association of Residential Lettings Agent (ARLA), National Association of Estate Agents (NAEA) and subscribe to the codes of conduct of these organisations.

Additional Fees & Services

Tenancy Agreement

Gibbs Gillespie will draw up the appropriate Tenancy Agreement and counterpart together with any relevant Notices (upon instruction). The cost of an Agreement is £120.00 plus VAT (£144.00 inc VAT) and is applicable for each tenancy and subsequent renewal

Deposit Registration Fee

All tenancies for which Gibbs Gillespie hold the security deposit as a ‘Stakeholder’ and register the deposit with the TDS there will be a charge £50.00 (inc VAT). This charge is also applicable on all renewals or extensions whilst Gibbs Gillespie still retains the deposit

Notices

The drawing up and serving of Notices is charged at £25.00 plus VAT (£30.00 inc VAT).

Transfer of Utilities

For those landlords choosing not use Gibbs Gillespie’s utility partner SPARK, Gibbs Gillespie can notify existing service providers and the local authority of the tenant’s or Landlord ’s liability (where appropriate) for a fee of £50.00 plus VAT (£60.00 inc VAT) per utility provider contacted.

Refurbishment

Gibbs Gillespie can arrange and supervise redecoration and/or refurbishing of a property for a fee of 10% plus VAT (12% inc VAT) of the total cost of the work.

Non Gibbs Gillespie Introductions

Gibbs Gillespie can manage properties let by other agents at a fee of 5% plus VAT (6% inc VAT) of the rent.

Damage & Dilapidation Disbursement

Where the property is not managed Gibbs Gillespie will negotiate the cost of damage and losses due to breach of the Tenancy Agreement between the Landlord and tenant. The charge to the Landlord for this service is £250.00 plus VAT (£300.00 inc VAT).

Applicable to Comprehensive Property Management Service

Management Working Float

Gibbs Gillespie will set up a float (not less than £400.00 when monthly rental payments are received, not less than £500.00 when quarterly rental payments are received and not less than £800.00 when rent is paid in advance) from the initial payment of rent and maintain it at the agreed level from subsequent net rents passing from the tenant to the Landlord.

Purchase of Items for Property from a Specific Source

If Gibbs Gillespie are required to purchase items from a specific source then our time on this will be charged at £50.00 per hour or part thereof.

Additional Property Visits (2 per year included in Comprehensive Property Management service)

Where Gibbs Gillespie manage the property, additional property visits incur charges of £50.00 plus VAT (£60.00 inc VAT)

Access for Contractors

Where Gibbs Gillespie are required to accompany non Gibbs Gillespie contractors, utility companies etc. to a property a charge of £35.00 plus VAT (£42.00 inc VAT) per hour will be charged.

Vacant Management Service

Gibbs Gillespie can manage the property at a charge of £50.00 plus VAT (£60.00 inc VAT) or 5% plus VAT (6% + VAT) of the previous rent achieved whichever is the greater, payable in advance. This service does not include Property Visits which will be charged as detailed above.

Works above £500.00

Gibbs Gillespie will organise and inspect works in excess of £500.00 for an additional administration and arrangement fee of 10% plus VAT (12% inc VAT) of the invoiced costs of works.

Insurance Claims

Gibbs Gillespie will progress any insurance claim relating to the property on the Landlord’s behalf providing the Landlord has already lodged the claim with the insurance provider. If supervision of repairs or redecoration is required an additional fee of 10% plus VAT (12% inc VAT) of the cost of the works would be applicable as above.

Miscellaneous Fees

Consent to Let

Gibbs Gillespie can to apply for consent on the Landlord’s behalf, at a charge per application of £30.00 plus VAT (£36.00 inc VAT).

Proof of Ownership

If the Landlord is unable to provide proof of ownership of the property Gibbs Gillespie will contact the Land Registry at a charge of £10.00 plus VAT (£12.00 inc VAT) per application.

The Non-resident Landlords.

Where a non-resident Landlord has not provided Gibbs Gillespie with the necessary approval from HMRC, Gibbs Gillespie will charge £75.00 plus VAT (£90.00 inc VAT)

Purchases by Party Introduced by Gibbs Gillespie 

In the event a party directly or indirectly introduced by Gibbs Gillespie Lettings purchases the property (either after entering into a tenancy agreement or otherwise), Gibbs Gillespie will be entitled to commission at 2% plus VAT (2.4% inc VAT), of the negotiated purchase price.

Court Attendance

For non managed properties, Gibbs Gillespie’s fee for attending court at the Landlord’s request is £350.00 plus VAT (£420.00 inc VAT) per day or any part thereof.

Outstanding Fees

Gibbs Gillespie’s fees are payable on demand, as and when they fall due. Gibbs Gillespie reserves the right to charge interest on any amounts outstanding 28 days after the fees are first demanded. Interest will be charged from the date the fees became due at the annual rate of 2% above HSBC’s base rate.
